2. Grundprinzip: „Local-first"

Ordela speichert deine Inhalte grundsätzlich lokal auf deinem Gerät (Browser-Speicher/IndexedDB). Bist du angemeldet, werden bestimmte Daten zusätzlich in deinem Konto bei unserem Dienstleister Supabase (Server in der EU) gesichert (Backup, Synchronisation zwischen Geräten, Familienfunktionen, Abo-Status). Wir zeigen keine Werbung und betreiben kein Tracking zu Werbezwecken.

3. Verarbeitete Daten, Zwecke und Rechtsgrundlagen

a) Konto

Bei Registrierung: E-Mail-Adresse, Name, Geburtsdatum (deine Altersangabe). Zweck: Bereitstellung des Kontos, Backup/Sync, Familien- und Abofunktionen. Rechtsgrundlage: Art. 6 Abs. 1 lit. b DSGVO (Vertrag).

Anmeldung mit Google: Alternativ kannst du dich über dein Google-Konto anmelden. Dabei wirst du zu Google weitergeleitet; Google erfährt dadurch, dass du Ordela nutzt, und übermittelt uns nach deiner Zustimmung dort deine E-Mail-Adresse und deinen Namen. Wir speichern zusätzlich, über welchen Weg du dich angemeldet hast. Willst du das nicht, nutze die Anmeldung per E-Mail und Passwort – sie steht gleichwertig zur Verfügung. Rechtsgrundlage: Art. 6 Abs. 1 lit. b DSGVO.

b) App-Inhalte

Aufgaben, Termine, Notizen, Arbeitszeiten, Fahrzeug-, Budget-, Einkaufs- und Kalenderdaten u. a. Speicherung lokal; angemeldet zusätzlich in deinem Konto (EU). Rechtsgrundlage: Art. 6 Abs. 1 lit. b und f DSGVO.

c) KI-Funktionen (Dokumenten-/Bildanalyse, Chat, Sprache)

Nutzt du die KI, werden deine Eingaben – einschließlich fotografierter oder hochgeladener Dokumente, die auch Gesundheits- oder Behördendaten enthalten können – zur Verarbeitung an OpenAI Ireland Ltd. (Verarbeitung auch durch OpenAI, L.L.C., USA) (USA) übermittelt. Dies erfolgt nur nach deiner ausdrücklichen Einwilligung (Art. 6 Abs. 1 lit. a und, soweit besondere Kategorien betroffen sind, Art. 9 Abs. 2 lit. a DSGVO). OpenAI verarbeitet API-Daten nicht zum Training seiner Modelle und löscht sie nach spätestens 30 Tagen. Zur Drittlandübermittlung siehe Ziffer 5. Auch der einfühlsame Begleiter in belastenden Lebenslagen (z. B. Trennung, Sterbefall) nutzt diese KI; solche Gespräche können sehr persönlich sein – bitte gib dabei möglichst keine identifizierenden Daten Dritter an. Deine Chats bleiben ansonsten nur lokal in deinem Verlauf und werden nicht dauerhaft beim KI-Dienstleister gespeichert.

d) Wetter, Pollen, Unwetterwarnungen, Behörden-Wegweiser, Spritpreise

Für diese Funktionen werden – nur wenn du sie nutzt – dein Ort bzw. deine ungefähren Koordinaten oder deine Postleitzahl an die jeweiligen Dienste (siehe Ziffer 4) übermittelt. Rechtsgrundlage: Art. 6 Abs. 1 lit. a und f DSGVO. Nutzt du den Gerätestandort, geschieht dies nur mit deiner Freigabe im Browser/Betriebssystem.

Lädst du im Müllkalender den Abfallkalender deiner Gemeinde über einen iCal/ICS-Link, wird dieser Link an unseren Server (Function „ics-proxy", EU) übermittelt, der den Kalender bei der Gemeinde bzw. dem Entsorger abruft und an dich zurückgibt; der Link wird dort nur zur Bearbeitung deiner Anfrage verwendet und nicht gespeichert. Lädst du stattdessen eine ICS-Datei hoch, verlässt dabei nichts dein Gerät. Die Abholtermine speichert Ordela lokal. Rechtsgrundlage: Art. 6 Abs. 1 lit. b und f DSGVO.

e) Musterbriefe & Briefgenerator

Für Musterbriefe verarbeitest du Absenderdaten (Name, Anschrift, ggf. E-Mail/Telefon), Empfängerdaten sowie je nach Vorlage weitere Angaben – teils auch Bankdaten (IBAN), z. B. bei Kautionsrückforderung oder Änderung der Bankverbindung. Diese Daten werden auf deinem Gerät verarbeitet und – wenn du angemeldet bist – wie deine übrigen App-Inhalte in deinem Konto (EU) gesichert. Eine Übermittlung an Dritte erfolgt nicht automatisch: Der fertige Brief verlässt dein Gerät nur, wenn du ihn selbst versendest, druckst oder teilst. Nutzt du die Schaltfläche „Mit KI verbessern", wird der Brieftext – einschließlich der darin enthaltenen Angaben – an den KI-Dienstleister übermittelt (siehe Ziffer 3c und 4); prüfe vorher, ob der Text sensible Daten enthält. Die Vorlagentexte selbst werden als statische Dateien ausgeliefert und enthalten keine personenbezogenen Daten. Rechtsgrundlage: Art. 6 Abs. 1 lit. b DSGVO (Vertragserfüllung), für die KI-Verbesserung zusätzlich deine Einwilligung nach Art. 6 Abs. 1 lit. a DSGVO.

e2) Eigener KI-Schlüssel (kostenpflichtige Freischaltung)

Hast du die Freischaltung „eigener KI-Schlüssel" erworben, kannst du deinen eigenen Zugangsschlüssel eines KI-Anbieters (derzeit OpenAI) hinterlegen. Der Schlüssel wird ausschließlich lokal auf deinem Gerät gespeichert (Browser-Speicher) und niemals an unsere Server übertragen. Deine KI-Anfragen gehen dann direkt von deinem Gerät an den KI-Anbieter – nicht über uns. Für diese Verarbeitung ist der KI-Anbieter verantwortlich; es gilt dessen Datenschutzerklärung, auf die wir keinen Einfluss haben. Bei uns entsteht dabei nur der Kaufvorgang der Freischaltung (siehe Ziffer 3g). Rechtsgrundlage: Art. 6 Abs. 1 lit. b DSGVO.

f) Push-Benachrichtigungen

Nur nach deiner Einwilligung (Erlaubnis im Browser/OS). Es wird ein technischer Push-Endpunkt beim Push-Dienst deines Browserherstellers (z. B. Google, Apple, Mozilla) registriert. Rechtsgrundlage: Art. 6 Abs. 1 lit. a DSGVO.

Aktivierst du Unwetterwarnungen, speichern wir zusätzlich die Koordinaten deines Warnorts auf unserem Server (EU). Anders ginge es nicht: Die Prüfung, ob für dich eine Warnung vorliegt, läuft auch dann, wenn die App geschlossen ist – dein Gerät kann sie in dem Moment nicht liefern. Gespeichert wird der Ort, den du für die Warnung gewählt hast, nicht dein laufender Aufenthalt. Schaltest du die Warnungen ab oder löschst dein Konto, wird der Eintrag gelöscht.

Lokale Erinnerungen (wählbare Vorlaufzeit bei Terminen und Aufgaben) entstehen ausschließlich auf deinem Gerät: Die App prüft, während sie geöffnet ist, ob ein Zeitpunkt erreicht ist, und zeigt dann eine Benachrichtigung. Dabei werden keine Daten übertragen – die Gerät-Erlaubnis für Benachrichtigungen genügt.

g) Abo / Kauf

Käufe werden über die App-Stores (Apple/Google) abgewickelt. Der jeweilige Store ist für die Zahlungsabwicklung verantwortlich. Wir erhalten Statusinformationen zum aktiven Abo. Rechtsgrundlage: Art. 6 Abs. 1 lit. b DSGVO.

h) Server-Protokolle

Beim Aufruf der App entstehen technisch bedingt Server-Logdaten (u. a. IP-Adresse) beim Hosting-Anbieter. Rechtsgrundlage: Art. 6 Abs. 1 lit. f DSGVO (sicherer, störungsfreier Betrieb).

Einige Dienste werden nur bei Nutzung der jeweiligen Funktion angesprochen. Mit Auftragsverarbeitern bestehen bzw. werden Verträge nach Art. 28 DSGVO geschlossen. Diese setzen ihrerseits Unterauftragsverarbeiter ein, teils außerhalb der EU – etwa für Betrieb, Protokollauswertung und Kundenbetreuung. Die Übermittlung ist dann durch Standardvertragsklauseln, das EU-US Data Privacy Framework oder einen Angemessenheitsbeschluss abgesichert. Schriftarten und Programmbibliotheken sind lokal in die App eingebettet (self-hosted) – es findet beim Laden kein Abruf von Google Fonts oder einem CDN und damit keine Übertragung deiner IP-Adresse an diese Anbieter statt.

Ohne Einwilligung und ohne personenbezogene Daten läuft eine einzige Übermittlung: die Übersetzung des Rezepts beim „Gericht des Tages". Das Rezept ist ein öffentlicher Text, den unser Server anhand seiner Kennnummer selbst bei TheMealDB abruft und zur Übersetzung an OpenAI weitergibt; das Ergebnis wird zwischengespeichert und allen Nutzenden gleichermaßen ausgeliefert. Es werden dabei keine Angaben über dich übermittelt – weder Kennungen noch Inhalte aus deinem Konto.

4a. Links zu fremden Seiten

An einigen Stellen bieten wir dir Links nach draußen an. Sie werden erst aufgerufen, wenn du sie anklickst – vorher fließt nichts. Die Adresse enthält dabei allerdings die Angaben, nach denen gesucht wird:

Google Maps (Karte, Route zu einem Amt oder zu einem Termin): übermittelt werden je nach Fall deine Postleitzahl, Koordinaten oder die Start- und Zieladresse eines Termins – dazu wie bei jedem Seitenaufruf deine IP-Adresse. Anbieter ist Google (USA).
servicesuche.bund.de (offizielle Behördensuche): übermittelt werden die Bezeichnung der gesuchten Leistung und deine Postleitzahl.

Für die Verarbeitung auf diesen Seiten ist der jeweilige Anbieter verantwortlich; es gelten dessen Datenschutzhinweise. Möchtest du das vermeiden, öffne die Seite nicht über den Link, sondern rufe sie selbst auf. Rechtsgrundlage für das Bereitstellen der Links: Art. 6 Abs. 1 lit. f DSGVO – die Wegbeschreibung ist der Zweck der Funktion.

5. Übermittlung in Drittländer

Einige Dienste (insb. OpenAI, GitHub Pages, Pexels) verarbeiten Daten in den USA. Die Übermittlung erfolgt auf Grundlage geeigneter Garantien, insbesondere der EU-Standardvertragsklauseln und – soweit zertifiziert – des EU-US Data Privacy Framework. Für die KI-Verarbeitung besonderer Kategorien (Ziffer 3c) stützen wir die Übermittlung zusätzlich auf deine ausdrückliche Einwilligung (Art. 49 Abs. 1 lit. a DSGVO). Trotz Garantien kann in den USA kein mit der EU vollständig gleichwertiges Datenschutzniveau garantiert werden.

6. Besondere Kategorien personenbezogener Daten (Art. 9)

In OrdelaFit (Gesundheits-/Fitnessangaben), im Notfallbereich (z. B. Blutgruppe, Allergien, Medikamente) und in gescannten Dokumenten können Gesundheitsdaten enthalten sein. Diese werden lokal auf deinem Gerät gespeichert. Eine Übermittlung deiner Daten an OpenAI erfolgt nur, wenn du die KI nutzt, und nur mit deiner ausdrücklichen Einwilligung. Bitte gib keine Gesundheits- oder Sozialdaten Dritter ohne deren Kenntnis ein.

7. Speicherung auf dem Endgerät (§ 25 TDDDG)

Ordela speichert Daten im lokalen Browser-Speicher/IndexedDB, soweit dies für die von dir gewünschte Funktion technisch erforderlich ist (einwilligungsfrei nach § 25 Abs. 2 TDDDG). Es werden keine Werbe- oder Tracking-Cookies gesetzt.

8. Kinder und Jugendliche (Art. 8 DSGVO)

Ein eigenes Konto können nur Personen ab 18 Jahren anlegen. Kinder und Jugendliche unter 18 nehmen ausschließlich als Mitglied über einen Familien-Code teil (anonymes Konto, ohne KI-Funktionen). Die Einwilligung erteilt der erwachsene Konto-Inhaber als Sorgeberechtigter (Art. 8 Abs. 2 DSGVO). Verantwortlicher im Sinne des Art. 4 Nr. 7 DSGVO bleiben wir – die Verantwortung für die Verarbeitung auf unseren Servern können und wollen wir nicht auf dich übertragen.

Information des Kindes (Art. 14 DSGVO): Daten eines Kindes trägst du ein, nicht das Kind selbst. Das Kind hat gleichwohl eigene Rechte an seinen Daten. Bitte erkläre ihm altersgerecht, welche Angaben du hinterlegt hast. Sobald das Kind alt genug ist, es selbst zu verlangen, geben wir ihm auf Anfrage Auskunft und löschen seine Daten – wende dich dafür an info@gonsoft-labs.de. Gleiches gilt für Empfängerdaten in Musterbriefen: Angaben über andere Personen verarbeitest du in eigener Verantwortung; wir speichern sie nur für dich.

Im Kinderbereich („Schule") kann der erwachsene Konto-Inhaber Daten eines von ihm betreuten Kindes anlegen (Vorname, Stundenplan, Termine, Hobbys). Diese werden – bei angemeldetem Konto – verschlüsselt mit dem Konto synchronisiert (Backup/Geräteabgleich in der EU). Termineinträge wie „Arzt/Impfung" können Gesundheitsdaten (Art. 9) sein. Grundlage ist die Einwilligung des Sorgeberechtigten (Art. 8, Art. 9 Abs. 2 lit. a DSGVO), die vor der ersten Anlage abgefragt und jederzeit unter „Einstellungen → Rechtliches & Datenschutz" widerrufen werden kann; dort lassen sich Kinder auch löschen.

9. Speicherdauer & Löschung

Lokale Daten: verbleiben auf deinem Gerät, bis du sie löschst oder die App deinstallierst.
Konto-/Cloud-Daten: bis zur Löschung deines Kontos. Die Löschung kannst du jederzeit in der App unter „Einstellungen → Konto endgültig löschen" auslösen (Server- und lokale Daten werden dann gelöscht).
Eine Ausnahme von der Löschung: Damit die kostenlose Testphase nicht durch wiederholtes Neuanlegen von Konten immer wieder in Anspruch genommen wird, behalten wir einen Prüfwert deiner E-Mail-Adresse – einen mit einem geheimen Zusatz gebildeten SHA-256-Hash. Aus ihm lässt sich deine Adresse nicht zurückrechnen; er erlaubt nur die Feststellung, ob für eine Adresse schon einmal eine Testphase lief. Er überlebt die Kontolöschung bewusst und wird nach 24 Monaten ohne erneuten Kontakt gelöscht. Rechtsgrundlage: Art. 6 Abs. 1 lit. f DSGVO (Missbrauchsabwehr).
Gesprochene Begrüßung: Lässt du dir die Begrüßung vorlesen, speichern wir die erzeugte Tonaufnahme zwischen, damit sie nicht bei jedem Start neu erzeugt werden muss. Sie enthält deinen Vornamen. Wird ein Eintrag 60 Tage nicht mehr abgerufen, löschen wir ihn.
Inaktive Konten: Wird ein Konto 24 Monate nicht genutzt, löschen wir es samt aller darin gespeicherten Daten. 30 Tage vorher schreiben wir dir an die hinterlegte E-Mail-Adresse. Meldest du dich in dieser Zeit an, beginnt die Frist von vorn. Ohne zugestellte Vorwarnung wird nicht gelöscht.
Gesetzliche Aufbewahrung: soweit steuer-/handelsrechtliche Pflichten bestehen (z. B. zu Zahlungen), gelten die gesetzlichen Fristen (§ 147 AO, § 257 HGB).

10. Deine Rechte

Du hast das Recht auf Auskunft (Art. 15), Berichtigung (Art. 16), Löschung (Art. 17), Einschränkung (Art. 18), Datenübertragbarkeit (Art. 20) und Widerspruch (Art. 21). Erteilte Einwilligungen kannst du jederzeit mit Wirkung für die Zukunft widerrufen (Art. 7 Abs. 3) – in der App unter „Einstellungen → Rechtliches & Datenschutz". Es besteht ein Beschwerderecht bei einer Aufsichtsbehörde. Zuständig ist:

Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen (LDI NRW), Postfach 20 04 44, 40102 Düsseldorf.

Hinweis auf dein Widerspruchsrecht (Art. 21 DSGVO): Du hast das Recht, aus Gründen, die sich aus deiner besonderen Situation ergeben, jederzeit Widerspruch gegen die Verarbeitung einzulegen, die wir auf ein berechtigtes Interesse stützen (Art. 6 Abs. 1 lit. f – bei uns: Server-Protokolle und Teile der App-Inhalte). Wir verarbeiten diese Daten dann nicht mehr, es sei denn, wir können zwingende schutzwürdige Gründe nachweisen. Eine E-Mail an info@gonsoft-labs.de genügt.

10a. Bereitstellungspflicht (Art. 13 Abs. 2 lit. e)

Zur Nutzung ohne Konto musst du nichts angeben. Für ein Konto sind E-Mail-Adresse und Geburtsdatum erforderlich – ohne sie kommt kein Vertrag zustande, weil wir dich weder anmelden noch das Mindestalter feststellen könnten. Alle weiteren Angaben sind freiwillig; ohne sie funktionieren nur die jeweiligen Einzelfunktionen nicht (z. B. Wetter ohne Ort). Es entstehen dir keine sonstigen Nachteile.

11. Keine automatisierte Entscheidung im Einzelfall

Eine automatisierte Entscheidungsfindung einschließlich Profiling mit rechtlicher Wirkung (Art. 22 DSGVO) findet nicht statt.

12. Änderungen

Wir passen diese Erklärung an, wenn sich Funktionen oder Rechtslage ändern. Die jeweils aktuelle Fassung ist in der App und unter dieser Adresse abrufbar.

2. Core principle: „local-first"

Ordela stores your content primarily locally on your device (browser storage/IndexedDB). When you are signed in, certain data is additionally stored in your account at our processor Supabase (servers in the EU) (backup, cross-device sync, family features, subscription status). We show no advertising and do not track you for advertising purposes.

3. Data processed, purposes and legal bases

a) Account

On registration: e-mail address, name, date of birth (your age declaration). Purpose: providing the account, backup/sync, family and subscription features. Legal basis: Art. 6(1)(b) GDPR (contract).

Signing in with Google: Alternatively you can sign in with your Google account. You are redirected to Google; Google thereby learns that you use Ordela and, once you agree there, passes us your e-mail address and name. We also store which route you used to sign in. If you do not want this, use e-mail and password – it is available on equal terms. Legal basis: Art. 6(1)(b) GDPR.

b) App content

Tasks, appointments, notes, working hours, vehicle, budget, shopping and calendar data, etc. Stored locally; when signed in also in your account (EU). Legal basis: Art. 6(1)(b) and (f) GDPR.

c) AI features (document/image analysis, chat, voice)

If you use the AI, your input – including photographed or uploaded documents that may contain health or official data – is transmitted to OpenAI Ireland Ltd. (Verarbeitung auch durch OpenAI, L.L.C., USA) (USA) for processing. This only happens after your explicit consent (Art. 6(1)(a) and, where special categories are involved, Art. 9(2)(a) GDPR). OpenAI does not use API data to train its models and deletes it after 30 days at the latest. For the third-country transfer, see section 5. The empathetic companion for difficult life situations (e.g. separation, bereavement) also uses this AI; such conversations can be very personal – please avoid entering identifying data about third parties. Otherwise your chats stay only locally in your history and are not stored permanently by the AI processor.

d) Weather, pollen, severe-weather warnings, authority guide, fuel prices

For these features – only if you use them – your location/approximate coordinates or postcode is sent to the respective services (see section 4). Legal basis: Art. 6(1)(a) and (f) GDPR. Device location is only used with your browser/OS permission.

If you load your municipality's waste calendar in the waste module via an iCal/ICS link, that link is sent to our server (the „ics-proxy" function, EU), which fetches the calendar from the municipality/waste provider and returns it to you; the link is only used to process your request there and is not stored. If you instead upload an ICS file, nothing leaves your device. Ordela stores the collection dates locally. Legal basis: Art. 6(1)(b) and (f) GDPR.

e) Letter templates & letter generator

For letter templates you process sender data (name, address, optionally email/phone), recipient data and, depending on the template, further details – in some cases bank details (IBAN), e.g. for a deposit refund or a change of bank account. This data is processed on your device and, if you are signed in, backed up in your account (EU) like your other app content. There is no automatic transfer to third parties: the finished letter leaves your device only if you send, print or share it yourself. If you use the „Improve with AI" button, the letter text – including the details it contains – is transmitted to the AI processor (see sections 3c and 4); please check beforehand whether the text contains sensitive data. The template texts themselves are delivered as static files and contain no personal data. Legal basis: Art. 6(1)(b) GDPR (performance of contract); for the AI improvement additionally your consent under Art. 6(1)(a) GDPR.

e2) Own AI key (paid unlock)

If you have purchased the „own AI key" unlock, you can store your own access key from an AI provider (currently OpenAI). The key is stored solely locally on your device (browser storage) and is never transmitted to our servers. Your AI requests then go directly from your device to the AI provider – not via us. That provider is responsible for this processing; its privacy policy applies, over which we have no influence. On our side only the purchase of the unlock arises (see section 3g). Legal basis: Art. 6(1)(b) GDPR.

f) Push notifications

Only after your consent (permission in the browser/OS). A technical push endpoint is registered with your browser vendor's push service (e.g. Google, Apple, Mozilla). Legal basis: Art. 6(1)(a) GDPR.

If you enable severe weather warnings, we additionally store the coordinates of your warning location on our server (EU). There is no other way: the check for a warning also runs while the app is closed, when your device cannot supply them. We store the location you chose for the warning, not your current whereabouts. If you switch the warnings off or delete your account, the entry is deleted.

Local reminders (selectable lead time for appointments and tasks) are created exclusively on your device: while the app is open it checks whether a time has been reached and then shows a notification. No data is transmitted – the device permission for notifications is enough.

g) Subscription / purchase

Purchases run through the app stores (Apple/Google). The respective store is responsible for payment processing. We receive status information about the active subscription. Legal basis: Art. 6(1)(b) GDPR.

h) Server logs

Accessing the app technically generates server log data (incl. IP address) at the hosting provider. Legal basis: Art. 6(1)(f) GDPR (secure operation).

Some services are only contacted when you use the respective feature. Data processing agreements under Art. 28 GDPR are or will be concluded with processors. These in turn engage sub-processors, some outside the EU – for operations, log analysis and customer support, for example. Such transfers are then covered by standard contractual clauses, the EU-US Data Privacy Framework or an adequacy decision. Fonts and program libraries are embedded locally in the app (self-hosted) – on load there is no request to Google Fonts or a CDN, and therefore no transfer of your IP address to those providers.

One transmission happens without consent and without personal data: translating the recipe of the “dish of the day”. The recipe is a public text which our server fetches from TheMealDB by its ID and passes to OpenAI for translation; the result is cached and served to all users alike. No information about you is transmitted – neither identifiers nor content from your account.

4a. Links to external sites

In some places we offer links to external sites. They are only called up when you click them – nothing flows beforehand. The address does, however, contain the details being searched for:

Google Maps (map, route to an authority or to an appointment): depending on the case, your postcode, coordinates or the start and destination address of an appointment are transmitted – plus your IP address, as with any page request. The provider is Google (USA).
servicesuche.bund.de (official German authority search): the name of the service sought and your postcode are transmitted.

The respective provider is responsible for processing on those sites and its privacy notice applies. If you wish to avoid this, do not use the link but open the site yourself. Legal basis for providing the links: Art. 6(1)(f) GDPR – directions are the purpose of the feature.

5. Transfers to third countries

Some services (in particular OpenAI, GitHub Pages, Pexels) process data in the USA. Transfers are based on appropriate safeguards, in particular the EU Standard Contractual Clauses and – where certified – the EU-US Data Privacy Framework. For AI processing of special categories (section 3c) we additionally rely on your explicit consent (Art. 49(1)(a) GDPR). Despite safeguards, a level of data protection fully equivalent to the EU cannot be guaranteed in the USA.

6. Special categories of personal data (Art. 9)

OrdelaFit (health/fitness data), the emergency area (e.g. blood group, allergies, medication) and scanned documents may contain health data. This is stored locally on your device. Transmission of your data to OpenAI only occurs if you use the AI, and only with your explicit consent. Please do not enter health or social data of third parties without their knowledge.

7. Storage on your device (§ 25 TDDDG)

Ordela stores data in local browser storage/IndexedDB where technically necessary for the feature you requested (no consent required under § 25(2) TDDDG). No advertising or tracking cookies are set.

8. Children and minors (Art. 8 GDPR)

Only persons aged 18 or over can create their own account. Children and minors under 18 participate solely as a member via a family code (anonymous account, without AI features). The consent is given by the adult account holder as legal guardian (Art. 8(2) GDPR). We remain the controller within the meaning of Art. 4(7) GDPR – responsibility for the processing on our servers cannot and will not be shifted to you.

Informing the child (Art. 14 GDPR): A child's data is entered by you, not by the child. The child nevertheless has its own rights to that data. Please explain to them, in an age-appropriate way, what you have stored. As soon as the child is old enough to ask, we will provide information and delete their data on request – please write to info@gonsoft-labs.de. The same applies to recipient data in letter templates: information about other people is processed under your own responsibility; we merely store it for you.

In the children's area („School") the adult account holder may enter data about a child in their care (first name, timetable, appointments, hobbies). When signed in, this is synchronised encrypted with the account (backup/device sync in the EU). Appointment entries such as „doctor/vaccination" may be health data (Art. 9). The basis is the consent of the legal guardian (Art. 8, Art. 9(2)(a) GDPR), requested before the first entry and revocable at any time under „Settings → Legal & Privacy", where children can also be deleted.

9. Retention & deletion

Local data: remains on your device until you delete it or uninstall the app.
Account/cloud data: until you delete your account. You can trigger deletion at any time in the app under „Settings → Delete account permanently" (server and local data are then deleted).
One exception to deletion: So that the free trial cannot be claimed repeatedly by creating new accounts, we retain a check value of your e-mail address – a SHA-256 hash formed with a secret additive. Your address cannot be reconstructed from it; it only allows us to establish whether a trial has already run for an address. It deliberately survives account deletion and is erased after 24 months without further contact. Legal basis: Art. 6(1)(f) GDPR (abuse prevention).
Spoken greeting: If you have the greeting read aloud, we cache the generated audio so it does not have to be produced again on every start. It contains your first name. If an entry is not retrieved for 60 days, we delete it.
Inactive accounts: If an account is not used for 24 months, we delete it together with all data stored in it. We will write to your registered e-mail address 30 days beforehand. If you sign in during that time, the period starts again. Nothing is deleted without a delivered warning.
Statutory retention: where tax/commercial obligations exist (e.g. regarding payments), statutory periods apply (§ 147 AO, § 257 HGB).

10. Your rights

You have the right to access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), data portability (Art. 20) and objection (Art. 21). You may withdraw consent at any time with effect for the future (Art. 7(3)) – in the app under „Settings → Legal & privacy". You have the right to lodge a complaint with a supervisory authority. The competent authority is:

Notice of your right to object (Art. 21 GDPR): You have the right to object at any time, on grounds relating to your particular situation, to processing we base on a legitimate interest (Art. 6(1)(f) – here: server logs and parts of the app content). We will then stop processing that data unless we can demonstrate compelling legitimate grounds. An e-mail to info@gonsoft-labs.de is sufficient.

10a. Obligation to provide data (Art. 13(2)(e))

To use the app without an account you need to provide nothing. For an account, e-mail address and date of birth are required – without them no contract can be concluded, as we could neither sign you in nor establish the minimum age. All other details are voluntary; without them only the respective individual features will not work (e.g. weather without a location). No other disadvantages arise for you.

11. No automated individual decision-making

No automated decision-making including profiling with legal effect (Art. 22 GDPR) takes place.

12. Changes

We update this policy when features or the legal situation change. The current version is available in the app and at this address.
